Sales Pipeline

Every open lead as a card on a board, dragged from first enquiry to won.

  • Columns are your own stages: add, rename, reorder and colour them in settings
  • Every card shows the deal's value from its linked quotes, and every column shows a running total
  • Cooledge moves cards for you when a quote is created, a quote is accepted or an invoice is paid
  • Won and Lost chips track the past 30 days with counts and values
  • Flag hot leads, filter by enquiry type or tag and mark deals lost with a reason
  • Update a lead's stage from the mobile app

The Sales Pipeline gives you a board view of your leads. Instead of a list telling you a lead exists, you see where every deal sits, what it is worth and which ones need a push. Cards move forward as you work them, and Cooledge moves them for you when the paperwork happens: create a quote and the lead advances, get it accepted and the deal is won.

Where to Find It

  1. Open the Cooledge Portal (desktop)
  2. Click Pipeline in the sidebar

The board and the leads list are two views of the same leads. Use the List view link on the board to jump to the list and the Pipeline button on the leads list to jump back.

Every open lead appears as a card. Leads that are won, lost or archived leave the board, and the Won and Lost chips above the board keep the last 30 days in view.

How the Board Is Organised

Columns are grouped into four stage groups that match the lead lifecycle:

  • New: leads that just arrived
  • Contacted: you have reached out
  • Opportunity: a quote or job is in play
  • Won: the deal is yours

Out of the box you get one column per group: New, Contacted and Quoted. Won deals leave the board and are counted in the Won chip, unless you add your own stages under Won (see below).

Custom Stages

Set up your own columns in Settings → Leads → Pipeline stages:

  • Add a stage to any group, for example "Site visit booked" under Contacted or "Follow up sent" under Opportunity
  • Rename, reorder and colour stages so the board reads the way your team talks
  • Delete a stage at any time: its cards simply move to the first stage of the same group
  • Each group always keeps at least one stage so every lead has somewhere to sit

Stages After the Win

Some businesses keep working a deal after it is won, for example collecting documents or scheduling the install. Add stages under the Won group and a Won section appears on the board. When a won deal is fully wrapped up, use Complete on the card to take it off the board.

Moving Cards

  • Drag a card between stages in the same group whenever you like
  • Drag it forward into the next group as the deal progresses
  • Backwards moves are not supported on the board. If a lead needs to step back, open the lead and correct it there
  • Prefer not to drag? Open the card menu and use Move to

Cooledge also moves cards automatically, whichever column they sit in:

  • Create a quote or job from a lead and the card jumps to the Opportunity group
  • A quote is accepted or an invoice is paid and the lead is marked won

Automatic moves always win. If a card cannot go where you dropped it, it snaps back with a message telling you why.

Deal Values

Cards show what each lead is worth, and every column header shows a running total:

  • The value comes from the quotes linked to the lead. Quotes created from the lead's job count too, so nothing is missed
  • When a quote offers the customer options, the value is an estimate and shows a ~ in front, like ~$12,400
  • Once a deal is won the card shows the accepted quote's actual total

What's on a Card

  • Lead name and suburb
  • Enquiry type, for example Ducted install or Repair. Set a default enquiry type on each lead form so leads arrive labelled
  • Deal value, with ~ when estimated
  • Time in stage chip: grey under 2 days, amber from 2 to 7 days, red past 7 days
  • Tags from the customer, with a count when there are more than two
  • A flame when the lead is flagged Hot

The card menu holds the quick actions: toggle Hot, Move to a stage, Mark won, Mark lost and Open lead. Clicking anywhere else on the card opens the lead.

Marking a Deal Lost

Mark lost asks for an optional reason: Price, Timing, Went elsewhere, No response or your own words. Reasons cost you two seconds now and tell you later why deals slip away.

Filters and Sorting

The board shares its filters with the leads list:

  • Search by name or details
  • Enquiry type, tag and Hot only filters
  • Sort cards within every column by time in stage (the default), created date or value

The Lead's Full Story

Open any lead and the Quotes, jobs and invoices card lists everything the lead produced, with the same deal value the board shows. Quotes created from the lead's job are linked back to the lead automatically, and accepting one marks the lead won on the spot.

On Mobile

The lead screen in the Cooledge mobile app shows the lead's pipeline stage. Tap it to move the lead to another stage, with the same forward-only rules as the board. The full board view is portal-only for now.

Tips

  • Keep stages few. Five or six columns you actually use beat twelve you skip past
  • Watch the red chips. A card that has sat still for a week is a follow-up call waiting to happen
  • Record lost reasons. A month of honest reasons tells you whether you are losing on price, speed or follow-up
  • Flag Hot sparingly. If everything is hot, nothing is
