Quote Templates and Duplicate Quote

Stop rebuilding the quotes you send all the time.

  • Save any quote as a reusable template, then start new quotes from it in a couple of taps

Save a quote as a template

Open any quote and choose Save as Template from its actions menu, then give the template a name.

The template captures everything that makes the quote reusable: its options, line items, units, prices, quote terms and report notes. Photos and floor plan snapshots are deliberately left out so the template stays a clean starting point rather than carrying one job's site photos into the next.

Load a template into a new quote

Start a new quote in the system type you want to build, then tap Load Template and pick one from the list.

Templates are filtered to the system type you are working in, so a ducted template only appears when you are building a ducted quote and an itemised template only appears on an itemised quote. The list only ever shows the templates that fit.

If the quote you are working on already has content, Cooledge asks before replacing it, so you cannot wipe out work by accident. Once loaded, the quote is yours to edit, price and send as normal.

Manage your templates

Go to Settings → Quote Templates to see your library. From there you can:

  • Rename a template
  • Preview what is inside it before you use it
  • Archive a template you no longer need (it is hidden from the picker, not deleted)
  • Restore an archived template if you want it back

Template names are unique within your business, so if you try to reuse a name that is already taken you will be asked to pick another or rename the existing one first. There is no separate "create template" button here on purpose. Templates are always made from a real quote using Save as Template, so they start from something you have already built and priced.

Duplicate a quote

Open any quote and choose Duplicate Quote from its actions menu. Cooledge creates a fresh Draft copy straight away, gives it its own new quote reference and opens it ready to edit.

What carries across to the copy:

  • All quote content: options, line items, units and areas
  • The customer and site details
  • Photos attached to the quote, copied to their own files so editing or deleting one quote never touches the other

What resets on the copy:

  • Status goes back to Draft
  • Sent, viewed and acceptance history are cleared
  • Payments and deposit status reset
  • A brand new quote reference is minted

If a photo cannot be copied for any reason, the duplicate is still created and Cooledge tells you which photos were skipped so you can re-add them.

Templates or duplicating: which should I use?

  • Reach for a template when it is a job you quote again and again, like a standard split-system install or a service callout. Build it once and reuse it forever.
  • Reach for Duplicate Quote when you want a one-off copy of a specific existing quote, like a repeat customer who wants the same work at a new address, or a quote you want to tweak into a second option.

Good to know

  • Both features are available in the web portal and the mobile app.
  • Loading a template or duplicating a quote never sends anything to the customer. The result is always a Draft you can review and edit first.
  • Floor plan snapshots are not saved into templates, because a floor plan belongs to one specific site. Start a floor plan quote from the plan itself with Floor Plan Scanning →.
