Email signatures: sign off with your details, not just your name
Build your company sign-off once in Settings and it goes on the bottom of the emails you and your team compose, plus booking reminders. Variables fill in your business and staff details, your logo included, and you can edit or drop it on a single send.
Your quotes and invoices went out with the same fixed sign-off every time, and there was nothing you could do about it. No phone number, no website, no licence details, no name of the person who actually sent it. You can now build the sign-off yourself, and there are two of them, because an automated reminder should never sign off with someone's name.
Two signatures, and why they are separate
- Email signature. Added to emails you and your team compose: quotes, invoices, purchase orders and job forms going out through the send composer, plus replies from the Messages inbox. Because there is a real person behind those, you can use staff variables.
- Automated email signature. Added to automated emails like booking reminders. There is no sender behind them, so staff variables are not available here and your reminders never go out signed by a person who did not send them.
- Be clear about the coverage. These two cover the emails you and your team send, plus booking reminders. Quote follow-up chasers, review requests, marketing campaign sends, online booking confirmations and supplier order emails still go out unsigned, and SMS never carries a signature.
Build it the way you want
Find it at Settings → Email Settings → Signatures.
- Variables, your logo included. Drop in
{business.name},{business.phone},{business.email},{business.website}and{business.logo}. The composed signature also takes{staff.name},{staff.first_name},{staff.phone}and{staff.email}, so one signature works for the whole team and each person's own details fill in when the email is sent. The automated card gets the business variables only. - Rich text or raw HTML. Format it in the editor, or flip to Edit HTML if you want to lay it out yourself.
- A live preview beside the editor. The composed one shows your own details filled in, the automated one shows what a send with no sender looks like.
- Send test to me. Fires whatever is on screen, not the last saved version, to your own address so you can see it in a real inbox before anyone else does. It never lands in a customer's conversation.
- Both save together. One Save stores both signatures, and Reset to default puts the standard sign-off back on either card. Clear an editor and save if you would rather have no signature at all.
Change it on a single email
- On the portal. Hover the signature in the composer for Edit signature, which changes it for that one email and never touches the stored version, or Remove signature. Once it is off, an Add signature pill brings it back.
- In the mobile app. The composer shows
Signature attachedwith a Remove link, and a + Add signature pill to put it back. Editing the signature itself is done on the portal.
Nothing changes until you change it
If you never open the tab, your emails keep exactly the sign-off they have always had: Kind regards, your business name and your logo if you have one set. The new editor is there for the day you want your phone number and licence details on the bottom of every quote.
