One-off campaigns let you send a single, targeted message to a specific group of customers. Unlike triggered campaigns (which run automatically), one-off sends are manual — you choose who gets the message, what it says, and when it goes out.
Plan requirement: Campaigns are available on Growth and Scale plans. Compare plans to find the right fit.
When to use one-off sends
- Seasonal promotions: "Pre-summer AC service — book this week and save 10%"
- New service announcements: "We now offer solar panel installations"
- Re-engagement: Message customers you haven't heard from in 12+ months
- Event-based: Holiday closures, changed hours, team updates
How one-off sends work (safe mode)
CoolEdge uses a constrained send approach to prevent accidental mass messages:
- Select a segment — Choose from your saved Smart Lists or create a segment on the fly.
- Pick a template — Use a pre-built template or write a custom message.
- Run preflight — CoolEdge shows you exactly who will receive the message, how many recipients, and an estimated SMS credit cost. Review the list before sending.
- Send — Confirm and send. Messages go out immediately or at your scheduled time.
Creating a one-off campaign
- Go to Marketing > Campaigns from the sidebar.
- Click New Campaign and select One-off Send.
- Choose your audience:
- Select a saved Smart List (see Smart Lists & Segments)
- Or build a segment on the fly using filters
- Choose your channel: Email, SMS, or both.
- Write your message: Customise the template with your offer, announcement, or update.
- Preview and preflight: Review the recipient list, check the message preview, and confirm SMS credit usage.
- Send now or schedule: Send immediately or pick a date and time.
Recipient caps and plan limits
To keep things safe, one-off sends have recipient limits based on your plan:

If your segment exceeds your plan's limit, CoolEdge will prompt you to narrow your audience or upgrade.
Best practices
- Segment first, send second: Never send to "all customers". Use Smart Lists to target the right people — customers who had a specific job type, haven't booked in 6+ months, or are in a particular area.
- Keep SMS short: SMS messages should be under 160 characters where possible. Include a link or phone number for the customer to take action.
- Test with a small group: For your first campaign, send to a small segment (10-20 people) to check formatting and response before sending to a larger list.
- Respect frequency: Don't send more than 1-2 campaigns per month. Customers appreciate helpful reminders but not constant messages.
- Check preflight carefully: The preflight screen exists to protect you. Always review recipient count and message content before hitting send.
Monitoring results
After sending, view your campaign's performance in the dashboard:
- Sent: Total messages dispatched
- Delivered: Successfully delivered (email and SMS)
- Opened: Email open rate
- Clicked: Link click rate
- Unsubscribed: Customers who opted out
Use these metrics to refine future campaigns — higher open rates on SMS? Lean into that channel. Low click rates? Simplify your CTA.
