Campaigns: Automated Reminders

Automated reminders are triggered campaigns that automatically send a message to your customer a set time after their last job is completed. They're one of the most effective ways to generate repeat bookings without lifting a finger.

Plan requirement: Automated campaigns are available on Growth and Scale plans. Compare plans to find the right fit.

How triggered campaigns work

  1. A job is marked as Completed in CoolEdge.
  2. After your chosen delay (e.g. 6 months, 12 months), CoolEdge automatically sends a reminder to that customer via email, SMS, or both.
  3. The customer receives a timely, professional message prompting them to rebook.

The campaign runs continuously in the background — every time a new job is completed, it enters the queue.

Use cases

Automated reminders work for any recurring service. Here are common examples:

  • Annual AC servicing: Remind customers it's time for their yearly split system or ducted service
  • Safety checks: Electrical safety switch testing, smoke alarm battery replacement, gas appliance inspections
  • Warranty follow-ups: Check in 12 months after an installation to offer a warranty inspection or maintenance plan
  • Seasonal tune-ups: Prompt customers before summer or winter to get their systems ready
  • Repeat bookings: Any service that benefits from regular scheduling — pool maintenance, pest control, gutter cleaning
  • Re-engagement: Reach out to customers you haven't seen in 6+ months with a friendly reminder

Setting up your first automated reminder

  1. Go to Marketing > Campaigns from the sidebar.
  2. Click New Campaign and select Triggered Campaign.
  3. Configure the trigger:
    • Trigger event: Job Completed
    • Delay: Choose how long after completion the reminder should go out (e.g. 6 months, 12 months).
    • Recurring: Optionally set the reminder to repeat every X months on an ongoing basis.
  4. Filter by job category (optional): Limit the campaign to specific job types. For example, only send reminders for "AC Service" jobs, not installations.
  5. Narrow with a Smart List (optional): Further refine who receives reminders using a saved Smart List segment.
  6. Choose your channel: Email, SMS, or both. If using both, set a slight delay between them (e.g. SMS 2 days after email).
  7. Write your message: Use the AI template generator or write a custom message. Keep it short and helpful — remind the customer what was done and why a follow-up is a good idea.
  8. Click Activate to start the campaign.

SMS credits are included with Growth (300/month) and Scale (600/month) plans. Credits are shared across all messaging features including campaigns, follow-ups, and two-way SMS.

Filtering by job category

Not every job needs a reminder. Use the job category filter to target specific types:

  • AC businesses: Annual service reminders for split systems, ducted maintenance checks
  • Electricians: Safety switch testing, smoke alarm battery replacement
  • Plumbers: Hot water system flush, backflow testing
  • General trades: Seasonal check-ups, warranty follow-ups

You can create multiple triggered campaigns with different delays and categories.

Tips for effective automated reminders

  • Keep it personal: Use the customer's name and reference the original job if possible.
  • Be helpful, not pushy: Frame it as a reminder, not a sales pitch. "It's been 12 months since your AC service — here's why an annual check-up matters."
  • Include a clear CTA: Make it easy to rebook. Link to your booking page or include your phone number.
  • Test your timing: 6 months works well for high-frequency services (AC, pool). 12 months is better for annual inspections.
  • Use recurring for ongoing services: If customers need regular servicing, set the reminder to repeat every 6 or 12 months automatically.
  • Combine with Smart Lists: Target specific customer segments — for example, only remind residential customers, or only those in a certain area.

What happens next

Once activated, the campaign runs automatically. You can monitor performance (sent, opened, clicked) in the campaign dashboard. Pause or edit the campaign at any time without losing your queue.
