Money reports: who owes you, what came in and what you haven't invoiced
Four new reports for owners and admins: Receivables, Cash collected, Work to invoice and Rebates. Invoices also get a real due date when you send them, so Overdue finally means overdue.
The Money section of Reports is now open. Four new reports answer the questions you ask at the end of the month. Who owes you? What came in? What did you finish but never bill? Alongside them, invoices now get a proper due date when you send them.
Four new reports
Receivables. See who owes you and how late it is, as of today.
- Age it by Days overdue or Days since sent.
- Group by customer, invoice or age.
- Click a customer to see their invoices.
Cash collected. See the payments you received over any date range.
- The chart runs by day, week or month, depending on the range.
- Group by payment, period, method, customer or type.
- Deposits are counted on their own in the headline figures.
Work to invoice. See finished work that hasn't been invoiced yet, oldest first.
- Each job shows how many days it has waited and the value of its draft invoices.
- The totals match Ready to invoice on your Dashboard.
Rebates. See what you expected from your rebate providers against what's been invoiced, paid and received.
- Date it by Accepted or Paid or received.
- Group by job, month, provider or unit.
- See shortfalls and money received with nothing expected.
- This report shows only if you have rebates turned on.
Each report lets you pick your columns and filter the rows. The account owner can download any of them as a CSV or a PDF with your logo. Admins can see the reports but can't export them.
Invoice due dates
Many invoices used to go out with no due date, so they could never show as overdue. That's fixed.
- Set when first sent. An invoice gets its due date from Settings > Invoice Preferences > Default Payment Terms when it is first sent.
- Blank means use your terms. Leave the date blank on a Draft and your terms fill it in at send. Pick a date and that date is kept.
- Change it, don't clear it. The due date on a Sent or Part-Paid invoice can be changed but not removed.
- Part-Paid can be Overdue. A Part-Paid invoice past its due date now shows Overdue everywhere, on the portal and in the app. It still shows what's left to pay.
- A Due column on Invoices. The Invoices page has a new Due column you can sort by. Due date fields now use a calendar.
In the mobile app, saving a Draft no longer sets a due date. Sending it does.
Invoices you've already sent stay as they are. If one has no due date, it won't show as Overdue. You can add a date to it at any time.
If you use the API, invoice.sent events now carry the due date your customer was given.
