Job profitability: what a job should make and what it made
Every quote you send now carries a profit estimate, frozen when the customer accepts. The job then holds it up against real bills, expenses and timesheet hours, on the portal and in the app.
Know your profit on every job, before and after you do the work. Cooledge now takes a profit estimate when you price a job, then holds it up against what the job really cost.
Estimate when you price it
- Taken when the quote is sent. Sending a quote, or Mark as sent, records the estimate at today's costs. Each re-send refreshes it. When the customer accepts, it is frozen.
- Estimated profit as you build the quote. The portal quote editors show an Estimated profit block under the pricing: unit cost, materials, labour and the Estimated margin.
- On the quote page too. Each option shows its estimate. The one the customer picked is marked Accepted option and Frozen at acceptance.
- Labour at your rate. Expected labour is the quote's priced hours at your default labour cost rate ($90 an hour until you set one).
Estimate against actual on every job
- A Profitability card on the job's Purchases tab shows Estimate, Actual and Difference for Customer price, Units and materials, Subcontractors, Other costs and Labour, down to the Margin.
- Labour from timesheets. Finished timesheets are costed at each person's labour cost rate at the time. Changing a rate later never rewrites old hours.
- All figures ex GST. Actuals come from your invoices, bills, expenses and credit notes.
- Phases add up. A parent job's card totals all of its phases. Show per phase breaks them out.
- In the app. The mobile job screen has a Profitability section with the Estimated margin and Actual so far.
Subcontracted installation
Hand the install to a subcontractor and still quote it as your own.
- Turn on Subcontracted installation on a split, multi, VRV, install only or ducted option. It is in the floor plan quote builders too.
- Enter the Subcontractor fee (inc GST), tick Includes electrical if their price covers it and set the Installation price (inc GST). Mark up the fee by a percentage and Cooledge offers the price to use.
- Customers see a normal installation price. In the app your team sees "Installation price set by your office".
- The fee becomes the Subcontractors estimate on the job and Labour reads Subcontracted when the subbie covers all the labour.
Costs sorted by category
- Bills, expenses, credit notes and purchase orders now have a Category: Materials, Subcontractor or Other. It decides which cost row they land in.
- Give a supplier a Default category and new documents from them start with it. Cooledge offers to apply it to their older documents that have none.
- Anything without a category shows as Uncategorised on the job, so you can see what to tidy up.
- Quick expenses in the mobile app ask your team to pick a category. Team members choose Materials or Other.
Also new
- Labour cost rates in Settings > Manage Team: a default rate per hour and a rate for each person.
- Add-on costs. Enter Your cost (inc GST) on each A/C Catalogue add-on. The add-ons a customer picks are costed when they accept.
- Costs on custom items in itemised and trade quotes, so one-off lines count in the estimate.
- Promoted units on your price list show Catalogue cost changed when the catalogue moves, with Use catalogue cost and Use suggested price.
- The kit builder shows the kit's cost and margin as you build it.
Plans
Job profitability is on Starter, Growth and Scale, for owners and admins. Team members never see estimates, cost rates or margins. Quotes accepted before this update show "No estimate" and their jobs still track actual costs. Guides: Job Profitability, Subcontracted Installation and Tracking Expenses.
